The Problem
The firm’s Financial Partner led the recent project to refresh the firm’s printing, copying and scanning infrastructure. She spoke to us about the long-standing relationship her firm has with Balreed and how together they devised a tailor-made print strategy.
“Our firm has been a client of the Balreed group for 15 years. Initially a company called Copy Plan was our supplier, and although they changed their name when they were acquired by Balreed the account manager has remained the same throughout all that time, and he and the service engineers have gained a position of trust with us.”
“When we decided it was time to refresh the equipment we had, we took a commercial view. Despite our satisfaction and trust of Balreed I wanted to make sure the firm was getting the very best service and value it could so I set about a tender process with a balanced scorecard approach, inviting Balreed and three other suppliers to tender. We identified the key criteria which included pricing, service abilities, response and fix times, reporting and support, and rated all against these.”

The Solution
Having re-appointed Balreed as the MFD supplier, our client’s financial account manager carried out a thorough assessment of all its sites, identifying all devices together with their volumes and costs. On this basis a new solution was designed, replacing the older equipment with 7 new networked and 2 new standalone MFDs, all supported and serviced by Balreed.
“We produce a wide variety of different materials: marketing and estate agency brochures, basic copying of documents for clients, and litigation and corporate client documents as well as trial bundles. To satisfy all these requirements we chose a mix of different models. Balreed set the models up with defaults that mean we copy or print in black and white as a standard, but staff can copy in colour when they need to by logging in at the MFD with their Pin number. Colour printing is even easier – the printer-drivers permit pre-authentication on a per-user basis, so that the operator can, if they wish, collect colour print-outs without having to log in first, while the colour volumes per user are still collected for costing purposes. This way we keep control of our colour volumes and costs, and our staff have access to that functionality when they need it.”
The Installation
“The new equipment was installed site by site, over a three-week period, during which the Balreed technical staff worked very closely with our own in-house IT team, to ensure that the rollout appeared – as far as is humanly possible – pain free to the end-users. The Balreed trainer then came to each site and took everyone through the new functionality. I just don’t worry when it comes to installing or moving devices like that, I know what to expect from Balreed.”
“The new MFDs complement our printer fleet, allowing us to provide a wider range of paper sizes and qualities, including paper that we use for special purposes such as the just-in-time printing of high-quality glossy colour brochures. Although the print drivers are complicated, they are fairly configurable, so they are easy to use for all users other than those with the most sophisticated printing requirements, such as in-house production of brochures.”
As well as controlling copying costs the new technology from Balreed has delivered major scanning benefits too: “We use scanning more and more now. Before we just had a few personal desktop scanners but it is very easy to scan documents on the new MFDs, and then work with the scans or email them out instantly rather than send a fax. It’s a more efficient way for us to work.”
The firm’s IT Manager added “The first thing that the users commented on to me was the impressive increase in scanning speed, compared with the previous equipment. It’s always nice to install equipment that puts a smile on a user’s face!”
